The Duck - The 7 Types of Email Users
The Duck - furiously paddling to stay afloat
Their little legs are moving like crazy, but unlike ducks who can hide their efforts under water - everyone can see you frantically typing in order to maintain your head above water in your inbox.
Ducks often have to spend A LOT of their day in their inbox in order to keep up.
We work with a lot of ducks who would like respite from the constant effort; especially as they feel like they are not actually getting anywhere.
The more they invest time into their inbox, they more of a time-sucker it becomes and the faster they have to paddle, only to be that duck that is just paddling in a circle.
Many managers that we meet have become Ducks; they get such a large volume of emails that they want to be across plus adequately reply to that they soon find that their legs just can't keep up.
If you are The Duck:
Instead of being that duck that thrashes about under water, how could you become a graceful duck that swims with ease?
The answer is EFFICIENCY.
Find out how you can do the same swimming more efficiently and if will feel a hell of a lot easier.
Start with templates. Go through your sent items and find emails that you repeat often. Are you often writing emails that are the same or similar from scratch? For example, welcome/on-boarding emails, appointment emails, sales emails, invoice emails etc.
Do you write the same sentences repetitively? We all have go to phrases that we use (and it's efficient to do so)...what are yours?
For example, lots of people end emails to clients with some variation of the following...
"Should you have any questions, please don't hesitate to contact me."
And at this time of year, you might start an email with "Happy New Year, I hope you had a relaxing break".
Save all of your commonly used phrases using AutoText and it will save you lots of time!
There are LOTS of efficiency solutions in Outlook; for help in finding out which solutions would best help you or a Duck that you know, get in touch with Mel...get your ducks in a row and you'll be slicing through the water in no time!
